At Vote Where You Rent, we are committed to protecting your privacy while helping you navigate the voter registration process. This policy explains what data we collect, why we collect it, and how you control it.
1. The Information We Collect
We categorize the information we handle into two areas: data you provide directly to us (which we keep), and anonymous usage data (which you can opt out of).
Information You Provide Directly (First-Party Data) When you interact with our website—such as completing the voter eligibility quiz, engaging with our interactive tools, or signing up for updates—we collect specific data points to help you vote and improve our civic outreach:
- Contact & Location Information: Your email address, name, phone number, and generalized location data (such as your city, state, or zip code) if you provide it.
- Voter Eligibility & Housing Status: Information relevant to your voting process, such as your citizenship status, whether you are a renter, your current registration status, and whether you possess an Ohio ID.
- Civic Engagement & Survey Responses: Your self-reported answers to our interactive tools, which may include your community affiliations, your scores on our civic power or safety sliders, and the specific information tracks you explored on our site.
- Journey Context: Technical information regarding how you navigated our interactive tools (such as the specific URL pathway or context of your session) submitted directly through our forms.
What We Do NOT Collect (Financial Data) Our voter eligibility tools may include questions regarding income and financial status to help determine the best voting path for your situation. We do not collect, store, or link any of this financial data to your profile. It is used instantaneously within your browser to calculate your results and is immediately discarded.
Information Collected Automatically (Analytics & Cookies) If you opt-in via our cookie banner, we use Google Analytics to collect aggregated, anonymous data about how visitors use our site. This includes:
- Campaign Tracking (UTMs): Hidden tags in the URL that tell us how you found our site (e.g., clicking a link on social media or scanning a specific flyer).
- Pages visited and time spent on the site.
- General geographic location (city level).
- Device and browser type.
2. How We Use Your Information
We use your first-party data strictly to further our mission of increasing voter turnout and providing accurate civic resources:
- Tailored Communications: We use your housing status, eligibility factors, and journey context to send highly specific, relevant information. For example, if your status indicates you need to vote by mail, we will follow up with absentee ballot request deadlines tailored to that specific process.
- Program Evaluation: We analyze aggregated survey responses and engagement metrics (like your power slider scores or tracks explored) to understand community needs and improve our educational resources.
- Organizational Updates: To send you general civic information and updates about Vote Where You Rent.
3. How We Share Your Information
We do not sell, rent, or trade your personal information to third parties. We only share your data with trusted service providers (Data Processors) who provide the infrastructure necessary to run our organization. For example:
- MailerLite: When you submit our forms, your contact information, eligibility context, and survey responses are sent securely to our MailerLite database. MailerLite is legally bound to protect this data and cannot use it for their own purposes.
4. Cookies, Tracking, and Your Choices
We believe in putting you in control of your digital footprint. Our website uses a Consent Management Platform (CMP) to manage cookies and tracking scripts.
- Explicit Consent: Our analytics scripts (Google Analytics) are paused by default. They will only run if you explicitly click "Accept" on our cookie banner.
- Decoupled Systems: Your choice regarding cookies does not affect your ability to use our site or join our mailing list. If you click "Reject" on the cookie banner, Google Analytics will remain blocked, but you can still successfully submit our forms and receive our tailored updates.
5. Managing Your Data
- Email Opt-Out: You can unsubscribe from our email list at any time by clicking the "Unsubscribe" link at the bottom of any email we send you.
- Cookie Preferences: You can or at any time.
